Guide

Best time to message Germany from the US

Feierabend is 18:00. From New York you have a decent morning overlap. From San Francisco you have a breakfast meeting. After 18:01 CET, schedule send.

Message Germany between 09:00 and 18:00 Europe/Berlin. Not 18:05. Feierabend is a boundary with a name. Berlin startups are not as factory-strict as Munich campuses, but the default is still: the day ends. Your American afternoon is their night. Schedule send is not optional if you work Pacific hours.

From New York and the East

Ordinary offset is six hours (EST/CET or EDT/CEST). 09:00 ET is 15:00 in Berlin. That is a good live window until about 11:30 ET / 17:30 CET. A 13:00 ET Slack is 19:00 in Germany. It will wait until morning, and it should.

In 8–29 March 2026 the US has sprung forward and Germany has not, so 09:00 ET is 14:00 CET. Still fine — just do not reuse January’s conversion table. The autumn mirror is 25 October–1 November.

Punctuality is kindness. If you book 16:00 CET, join at 16:00 CET, not 16:07 with a smoothie.

From San Francisco

This is the Berlin–San Francisco problem. Overlap is Berlin 16:00–18:00 and California 07:00–09:00. That is a standup, not a workshop. Do not Slack at 10:00 Pacific; it is 19:00 in Berlin. Write the message at 10:00 Pacific if you must, deliver it at 08:45 CET.

Regional German clocks that are not timezones

Hamburg port desks start earlier. Frankfurt banks may answer at 07:30. Cologne Carnival week is not a work week. 3 October is German Unity Day everywhere. Many Länder add Epiphany, Corpus Christi, Reformation Day, or All Saints. If your counterpart is in Munich, a Thursday in June might be Corpus Christi. If they are in Berlin, it might not. National feeds mark the public ones; still ask.

Lunch is real. 12:00–13:00 CET is a bad first ping. 13:05 is fine.

The message itself

German written culture likes complete information once. A 22:00 CET “got a sec?” from New York is two rudenesses (night, and no payload). Send a paragraph at 09:32 CET instead. Mention whether a reply is needed today. If it is not, say so.

Best time: their late morning. From New York, that is your early morning send or your 09:00 call. From California, that is schedule send. Check Berlin or Munich. Then send once, on time.

Works councils, email culture, and the 18:01 myth

Some German firms have works councils and email rules that make after-hours contact a compliance topic, not only a manners topic. Even where they do not, the cultural prior is strong. A US manager who praises "responsiveness at 21:00" will quietly fail to hire in Berlin.

Prefer email or docs for non-urgent asks; they feel less like a doorbell than Slack. If you use Slack, no mention after 18:00. If you use Slack with a mention after 18:00, you are asking for overtime. Pay for overtime or wait.

Bavaria and Baden-Württemberg add church holidays that Berlin skips. A Thursday ping that is Corpus Christi in Munich is an ordinary Thursday in Berlin. City pages and the holiday table beat a single "Germany" flag.

Pair hygiene: Berlin–San Francisco for Pacific, New York morning for East Coast. Do not mix both US coasts into one German 17:00 call unless you like making someone attend twice. If the invite cannot name both civil times, it is not ready to send.

Field notes from the city desk

Berlin (Europe/Berlin) does not owe you HQ hours. Punctuality is kindness. 18:01 is already Feierabend unless the calendar said otherwise. Ping inside 09:00–18:00 around Mitte / Kreuzberg offices, or schedule send. Presence dots after 18:00 are scenery.

Munich (Europe/Berlin) does not owe you HQ hours. Earlier than Berlin, more calendar-formal. Oktoberfest weeks are a polite blackout. Ping inside 08:00–17:00 around the bank and Maxvorstadt offices, or schedule send. Presence dots after 17:00 are scenery.

In New York, start from FiDi. Slack after 19:00 is usually parked until the morning subway ride. The local prior remains 09:00–18:00 (America/New_York). If this article's advice conflicts with that desk, the desk wins — ask once and write it down.

In San Francisco, start from SoMa. Async is a religion until someone in London needs a decision; then the 08:00 Pacific standup appears. The local prior remains 09:00–18:00 (America/Los_Angeles). If this article's advice conflicts with that desk, the desk wins — ask once and write it down.

None of these notes replace the live verdict. Open the city page at send time. Clocks and holidays move; this paragraph does not.
